Apostill documents from Ukraine

In the context of the growing number of Ukrainians staying in Poland, both for personal and professional reasons, the issue of legalization of documents becomes extremely important. Apostille is a key tool that enables the recognition of Ukrainian documents in Poland and other countries signatory to the Hague Convention. An Apostille is an international certification of the authenticity of an official document that is recognized in countries signatory to the 1961 Hague Convention. Thanks to Apostille, documents do not require additional legalization in embassies or consulates of destination countries.

In Ukraine, several institutions are authorized to issue Apostilles, depending on the type of document:


Ministry of Foreign Affairs of Ukraine (MFA)
  • The Ministry of Foreign Affairs of Ukraine is responsible for issuing Apostilles for official and administrative documents and documents relating to marital status (e.g. birth, marriage and death certificates).

  • The Ministry of Justice issues Apostille for court documents and notarial documents.

  • Address:

Ministry of Education and Science of Ukraine
  • The Ministry of Education and Science is responsible for issuing Apostilles for educational documents such as diplomas, certificates and certificates.

Registration on the Electronic Platform

Filling out the Application Form
  • After registration, you must complete the Apostille application form. These forms are available on the platforms of the relevant ministries.


Attaching Document Scans
  • Scan original documents or officially certified copies and attach them to the online application.

Stamp Duty
  • Fees are paid online using payment cards or other payment methods available on the platform. Information about the fees can be found on the ministries' websites.


Application Status Tracking
  • Online platforms allow you to track the status of your application. You will be able to see what stage your application is at.


Receiving the Document
  • After completing the process, the document with Apostille will be sent by post to the indicated address or will be ready for collection at the selected office. In some cases it may be available for digital download online.
